How personal information is handled by Drakelow Hub
Drakelow Hub is the controller for personal information collected directly through this website. Questions or privacy requests can be sent to hello@drakelowhub.co.uk.
What information we collect
Most of Drakelow Hub can be used without giving us personal information. We collect information when you choose to use the following features:
- Weekly email: your email address, confirmation status and signup dates.
- Event submissions: your name or organisation, private contact email and the event information you submit.
- Business listings: your private contact email and any business details, links, phone number or photograph you choose to submit.
- Contact with us: the information contained in your email or other message.
- Site measurement: aggregate counts of page views and a small number of actions such as newsletter requests, event submissions, business submissions and outbound-link categories. These counts do not contain a visitor identifier, cookie ID, full referrer, IP address or user-agent string.
Basic technical information such as IP addresses may still appear in normal hosting and security logs. The public forms use an IP-based rate limiter to reduce automated abuse.
Why we use it
Where we rely on legitimate interests, we use only the information reasonably needed for that purpose and keep private contact details out of public listings unless you have deliberately supplied them as public business information.
Newsletter consent
Newsletter signups use double opt-in. Entering an address creates a pending request and sends a confirmation link. The address is not included in the weekly mailing list until that link is used. Every newsletter contains an unsubscribe link, and you can also ask us to remove your address by email.
How long we keep information
- Unconfirmed newsletter requests are removed after about 7 days.
- Confirmed newsletter addresses are kept until you unsubscribe or ask us to remove them.
- Pending and rejected event submission records are normally removed after 90 days. Private contact details on approved events are scrubbed 90 days after the event has passed.
- Approved business listings may retain the private submitter contact while the listing remains active so ownership, corrections and removal requests can be handled. Rejected business records are removed after 12 months.
- Anonymous aggregate site-measurement totals are kept on a rolling basis for up to 400 days so year-on-year local usage can be compared.
- Normal server and mail logs may be retained separately by the hosting or email provider for security and operational purposes.
These periods are reviewed and information may be deleted earlier when it is no longer needed.
Who information is shared with
Drakelow Hub does not sell personal information. Information may be processed by services needed to run the site, such as the web host and email delivery infrastructure. It may also be disclosed where required by law or where necessary to protect the security of the service.
Public event and business information is, by design, published on the website after moderation. Private submission contact emails are not displayed as part of an event listing.
Third-party services and external content
The site loads some resources from third parties, including Google Fonts and OpenStreetMap map tiles. When your browser requests those resources, the provider receives normal connection information such as your IP address and browser details. Links to organisers, businesses, transport providers and other websites take you to services with their own privacy practices.
Drakelow Hub's own site measurement is first-party and aggregate only. It does not use Google Analytics or another third-party visitor analytics service.
Your rights
Depending on the circumstances, UK data protection law gives you rights over your personal information, including access, correction, erasure, restriction, objection and data portability. Where processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing.

Changes to this notice
This page will be updated when the site starts collecting information in a materially different way or when the legal position changes.
